Position: Patient Travel Coordinator I - Medicaid Travel Office

Overview

Summary:

Under general supervision, will coordinate travel for patients being referred to the Alaska Native Medical Center (ANMC) for medical care in Anchorage or outside of Alaska. Will review the provided documentation and assist the patient, clinic and service unit with the completion of travel for beneficiary and Medicaid travel.

Responsibilities
  • Coordinate travel arrangements, including air and ground transportation, lodging and meals for patients and their escorts referred for medical care by ANMC to medical clinics in and outside the State of Alaska.
  • Determine medically necessary travel and ensure all aspects of the patient’s travel (appointments, lodging, transportation, and related logistics) are completed.
  • Collaborate with team members and outside agencies to ensure ANMC Travel Rules and Regulations are met; advocate for the patient and referring provider.
  • Honor patient travel preferences and inform patients about other services and resources available to them.
  • Coordinate extended or rescheduled travel bookings in real time with tribal travel agencies and related accommodations.
  • Coordinate with Prior Authorization staff to book patient travel within Medicaid Travel Authorization parameters; ensure compliance with ANMC policies, procedures and Alaska Medicaid regulations.
  • Utilize multiple computer systems to gather information and communicate with ANMC, Tribal Health Partners, and other providers/clinics.
  • Complete credit card reconciliation and billing for all booked itineraries; provide necessary documentation for reservations and purchases; research reservations, process refunds, and provide accurate invoices upon itinerary completion.
  • Performs Other Duties As Assigned Or Required.
Purchased Referred Care (PRC) Travel Specific
  • Prepare and submit invoices/claims and other documentation for travel reimbursement for customers with alternate health resources.
  • Process patient reimbursement requests by entering purchase orders in specified computer programs and complete check requests through the ANTHC purchasing system; monitor until completed.
  • Provide monthly accounting reports and reconcile all purchases with supporting documentation (folios and receipts); research, gather and analyze purchase orders to ensure timely and accurate payments.
Knowledge and Skills
  • Knowledge of customer service concepts and practice.
  • Knowledge of the Privacy Act of 1974 and HIPAA Privacy Rule Act of 1966.
  • Knowledge of state, federal, and tribal health care programs.
  • Knowledge of state, federal and public/private insurance, including Medicaid/Medicare.
  • Skill in working independently or as a team member.
  • Skill in dealing with distressed customers.
  • Skill in grammar, spelling, sentence structure, and effective business letter writing.
  • Skill in operating office equipment (copiers, fax, etc.).
  • Skill in interpreting insurance financing at state, federal, and public/private levels.
  • Skill in establishing and maintaining cooperative working relationships.
  • Skill in operating a personal computer with various software applications.
Minimum Education Qualifications
  • Patient Travel Coordinator I & II: A high school diploma or GED equivalent.
  • Patient Travel Coordinator III:
    Associate Degree in business or related field; progress may be substituted on a year-for-year basis with relevant experience.
Minimum Experience Qualifications
  • Patient Travel Coordinator I (Non-supervisory):
    One (1) year travel experience and one (1) year customer service experience. An equivalent combination of relevant education and/or training may be substituted. Must be capable of learning and operating multiple computer systems.
  • Patient Travel Coordinator II (Non-supervisory):
    Two (2) years of travel experience and two (2) years of customer service experience, or one (1) year working for ANMC Travel Management Office as a Patient Travel Coordinator I. An equivalent combination of relevant education and/or training may be substituted. Must have mastered two of the following travel duties:
  • Sabre or primary booking software used at the TMO
  • Navigating and documenting within ANMC software applications (SharePoint, AFHCAN, Cerner)
