, you will play a vital role in advancing this mission by supporting the Director/CEO, strengthening governance operations, and coordinating strategic initiatives that help move the institution forward.

What You’ll Do Executive Support- Manage the Director/CEO's complex calendar with foresight and priority alignment
- Prepare briefings, agendas, materials, and background documents
- Draft, proofread, and edit executive correspondence and communications
- Coordinate travel, reimbursements, and reconciliations
- Serve as a discreet point of contact for internal and external stakeholders
- Support logistics and technology needs for executive meetings
- Provide supplementary administrative support to designated senior leaders (COO, CFO, CHRO, CDO, Deputy Director of Facilities)
- Serve as the administrative liaison to the Museum and Foundation Boards
- Schedule board and committee meetings, coordinate notices, and manage logistics
- Prepare agendas, board packets, and governance-related communications
- Record, finalize, and archive minutes
- Maintain trustee rosters, terms, and governance records
- Support trustee onboarding and orientation
- Coordinate hybrid and virtual meeting technology for board activities
- Track and support CEO-led initiatives and institutional commitments
- Prepare talking points, background briefs, and summaries
- Coordinate cross-departmental contributions and follow-up
- Maintain trackers, timelines, and status updates
- Support creative and strategic projects led by the Director/CEO, including content preparation, research, and coordination
- Support grant administration by tracking deadlines, assembling materials, and coordinating submissions with staff and Finance
- Assist with community-facing and partnership initiatives led by the Director/CEO
- Maintain executive and governance records
- Develop and manage briefing files, reference materials, and correspondence
- Support editing and preparation of select external communications
- Serve as a liaison among leadership, trustees, and key stakeholders
- Support all-staff communication, meetings, and onboarding logistics
- Assist HR with recruitment coordination, policy formatting, internal communications, and training logistics
- Coordinate hybrid meetings and provide basic troubleshooting
- Track institutional memberships and renewals
- Work with Library/Archives to ensure corporate and governance records are preserved and organized
- Provide supplementary administrative support to the CFO, including audit preparation and documentation management
- Support institutional policy version control, formatting, and records maintenance
