The Certification Specialist provides administrative, customer service, and archival support. Under limited supervision, this position supports certification operations through application processing, records maintenance, scheduling, reception, archival, and general office coordination. The Specialist plays a key role in ensuring accurate documentation, timely communication, and efficient daily operations within a confidential regulatory environment.

ESSENTIAL DUTIES
  • Support the organization’s goals and quality standards by performing duties in a professional, ethical, and respectful manner.
  • Conduct professional activities with honesty, integrity, respect, fairness, and good faith in a manner that reflects positively upon the organization.
  • Perform administrative support for the processing, tracking, and organization of certification applications, renewals, and related documentation including statistics.
  • Serve as the first point of contact for the company by greeting and assisting customers, answering phones, responding to inquiries, and directing calls or correspondence appropriately.
  • Develop, maintain, and update electronic and physical record-keeping systems in accordance with confidentiality requirements, records retention standards, and applicable privacy laws.
  • Perform general filing, scanning, indexing, and retrieval of documents.
  • Schedule meetings, hearings, trainings, and appointments; maintain calendars and coordinate logistics as assigned.
  • Prepare, copy, scan, and file documents; manage incoming and outgoing correspondence.
  • Assist with data entry and maintenance in certification databases and tracking systems.
  • Support company operations by preparing meeting materials, mailings, notices, and administrative documentation.
  • Maintain professionalism and discretion when handling sensitive personal, licensure, or disciplinary information.
  • Provide general office support and assist with special projects as assigned.
  • Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.
  • Other duties will be assigned to this position as needed.
REQUIRED EXPERIENCE
  • High school diploma or GED
  • 3+ year of administrative and/or office support work experience
  • Previous responsibility handling and securely filing confidential documents
PREFERRED EXPERIENCE
  • Associates Degree or higher in Human Services, Psychology, or Social Work
  • Experience in a regulatory, certification, licensing, healthcare, or professional credentialing position
  • Proficiency in Microsoft Office 365, Adobe Acrobat, Zoom, Teams, websites, and social media
