We are a growing Alaskan owned fire protection company serving commercial clients throughout Alaska. Our team specializes in inspection, testing, service, and installation of fire alarm systems, fire sprinkler systems, kitchen suppression systems, fire extinguishers, egress lighting systems, and life safety systems throughout the last frontier.

We are seeking a highly organized, detail-oriented Office Manager to oversee daily administrative operations and support our field technicians and leadership team.

Position Overview

The Office Manager plays a critical role in keeping our operations organized, compliant, and running efficiently. This position is responsible for inspection scheduling, service coordination, invoicing, and maintaining strong client communication in a fast-paced life safety environment.

This is an in-office position located in Midtown Anchorage
.

Key Responsibilities Scheduling & Operations Coordination
  • Schedule annual, semi-annual, and quarterly fire system inspections
  • Coordinate and dispatch technicians for service calls and repair visits
  • Manage technician calendars to maximize efficiency and coverage
  • Confirm upcoming appointments with clients and send reminders
  • Track inspection due dates and proactively schedule recurring services
  • Maintain organized job files and inspection documentation
Client Communication
  • Serve as primary point of contact for customer inquiries
  • Communicate inspection results, service needs, and scheduling updates
  • Follow up with clients regarding deficiencies and repair approvals
  • Maintain strong, professional relationships with property managers, contractors, and building owners
  • Coordinate with AHJs and inspectors when required
Invoicing & Billing
  • Prepare and send invoices for inspections, service calls, and installations
  • Process progress billings for larger projects
  • Track accounts receivable and follow up on outstanding payments
  • Ensure accurate documentation supports all billing
  • Assist with payroll processing as needed
Administrative & Compliance Support
  • Track permits, inspection reports, and compliance documentation
  • Maintain licensing, certifications, and insurance records
  • Assist with proposals, service agreements, and contract documentation
  • Order materials and coordinate with vendors
  • Support leadership with reporting and office organization
Qualifications
  • 3+ years of office management or administrative experience
  • Experience in construction, service, or fire protection industry preferred
  • Strong scheduling and organizational skills
  • Excellent written and verbal communication abilities
  • Experience with invoicing and accounts receivable
  • Proficiency in Google Suite (Drive, Docs, and Sheets)
  • Experience with Quick Books or similar accounting software
  • Ability to prioritize tasks and work independently
  • Reliable, detail-oriented, and professional
  • $40 per hour
