Position Summary:The Alaska World Affairs Council is seeking a Program & Events Manager to support the planning, logistics, promotion, and execution of its speaker programs and events. This position works in close collaboration with the President & CEO, who leads program booking and determines speaker engagement priorities. The Program & Events Manager is responsible for executing logistical, operational, and coordination aspects of programs once speakers are confirmed.
This role manages the details that ensure programs run smoothly–from speaker travel and itineraries to event coordination, marketing execution, and post-event follow-up. This role is highly collaborative and support-oriented, requiring strong organizational skills, attention to detail, and the ability to translate program vision into seamless execution.
The position is ideal for someone who thrives in a small nonprofit environment, enjoys managing multiple moving parts, and takes pride in creating high-quality experiences for speakers, partners, and audiences. The role is primarily remote, with in-person attendance required for programs and events, including occasional evenings and weekends (approximately 2-3 days per month).
Responsibilities:Program & Speaker Logistics
- Collaborate closely with the President & CEO, who books programs and determines speaker meetings and engagement priorities.
- Execute logistical aspects of programs once speakers are confirmed, including booking flights, hotels, venues, and local transportation.
- Coordinate and schedule speaker meetings and community engagement opportunities as directed by the President & CEO.
- Create and manage detailed speaker itineraries to ensure smooth, well-organized visits.
- Maintain and update the speaker database/spreadsheet with program details, contacts, schedules, and logistical notes.
- Track program-related income and expenses and support budgeting and financial reporting in coordination with the President & CEO.
- Work closely with staff and volunteers to ensure seamless day-of program execution and a positive experience for speakers and attendees.
- Plan and coordinate program and event logistics, including securing venues, coordinating vendors, and arranging catering when needed.
- Collaborate with the President & CEO to develop and execute marketing and promotional materials for programs and special events.
- Manage program listings and content across the organization’s website, email communications, and social media platforms.
- Support program development and delivery by ensuring timelines, materials, and logistics align with organizational goals.
- Serve as a key point of contact for vendors, venues, and partners to ensure clear communication and smooth execution.
- Support post-event evaluation, reporting, and follow-up communications.
- Assist with media coordination, photo collection, and documentation for organizational records and outreach.
- Provide general program and event support as needed in a small, collaborative team environment.
- Comfortable working independently and collaboratively in a small team environment.
- Excellent communication skills, both written and verbal, for interacting with speakers, partners, and internal teams.
- Experience in event planning/ coordination, or administrative support preferred.
- Excellent organizational skills, attention to detail, and ability to manage multiple projects simultaneously.
- Proficiency in Google Workspace and Microsoft Office.
