The Administrative Assistant provides essential general administrative support to the Northern Air Cargo senior management team and various other departments as required. This role is central to maintaining an organized, professional, and efficient office environment.
DUTIES AND RESPONSIBILITIES:
- Utilize computer skills to include Microsoft Office programs (Word, Excel, Teams, SharePoint, PowerPoint, One Note, One Drive, and Outlook).
- Compile expense reports and provide accounting processing assistance.
- Book flights and travel accommodations for staff as needed.
- Schedule and maintain calendars for conference rooms, managers, conference calls, and monthly birthday calendar.
- Maintain and build (as needed) Outlook email Distribution Lists.
- Take meeting minutes at select weekly and monthly meetings.
- Manage NAC owned vehicle check out and check in for visiting staff.
- Order office and kitchen supplies and provide inventory control for NAC building. Conduct shopping trips as necessary to ensure building and teams are adequately supplied with appropriate material.
- Ensure all public and employee spaces are safe, well-stocked, presentable, and professional.
- Receive and distribute all incoming mail.
- Collaborate and train with other administrative staff. Provide back-up as needed during vacations/illness.
- Provide general administrative support, data entry, and special project or event assistance to various departments as required.
- Other duties as required and/or assigned.
- High school diploma or GED required (Associate's degree in business administration or related field is preferred)
- 2+ years' experience in administrative support or similar
- Experience and knowledge with Microsoft Word, Excel, Outlook, PowerPoint, Teams, One Note, One Drive, and SharePoint desirable.
- Ability to work well with others as part of a professional high-performance team
- Motivated self-starter with strong analytical skills
- Proven track record of strong organizational skills, problem-solving skills, and communication skills, both written and verbal
- Proficient data entry skills
- Positive attitude, self-motivated, self-starter with a sense of urgency
- Ownership and accountability for completed work
- Ability to work in a fast-paced working environment
- Must have experience using fax machines, copiers, color printers, etc.
- Must possess administrative office skills with the ability to assume responsibility without direct supervision
- Must be able to manage time appropriately.
- Must demonstrate a high level or organizational skills.
- Must be able to work well under pressure.
- Must exercise initiative and judgment, with the ability to make mature decisions within a scope of assigned authority.
- Committed to finding and implementing continuous improvement projects within scope of job duties.
- Must maintain a high degree of confidentiality.
- Occasionally may require use of personal vehicle during the day for errands, postal deliveries, etc.
- Notary Public preferred or be able to obtain one.
- Verbal communication with external and internal customers required 50%-65% of the day
- Telephonic communication is conducted approximately 25%-30% of the day.
- The work is classified as "light" with regards to the physical demands.
- Lifting requirements:
Heavy boxes weighing 25 pounds, light office supplies, stacks of paper and computer printouts. Carts may be pushed loaded with office supplies and/or computer printouts that may weigh 10 to 15 pounds. - Climbing may be required up and down low step ladders, stooping is necessary for low file drawers and/or to retrieve supplies from the floor or under desks, kneeling and crouching may be required for filing.
