This role plays a vital part in managing the daily dispatching process for apprentices, ensuring compliance with state and federal requirements, and maintaining a seamless flow of communication between students, employers, and program administrators.

Job DetailsJob Title: Apprenticeship Dispatcher Administrator
Base pay range: $20.00/hr - $21.00/hr
Pay Rate: $20–$21 per hour
Employment Type: Contract
Key Responsibilities- Dispatch Administration:
- Manage incoming and outgoing apprentice dispatch requests within 24–72 hours
- Update apprentice files in the database with dispatch, return dates, and employer notifications
- Maintain and update daily Out-of-Work Lists and dispatch tracking spreadsheets
- Communicate dispatch details to employers, including required forms (DAS-1, ETA-671, cover sheets, OJT hours)
- Submit and manage apprenticeship documents in RAPIDS and state databases
- Conduct internal audits to ensure data integrity and compliance
- Process leave of absence requests and maintain tracking spreadsheets
- Program Coordination & Reporting:
- Follow up on apprentice employment status and provide regular reporting on dispatches, open requests, and out-of-work students
- Monitor and support apprentices returning from leave or disciplinary holds
- Assist with graduation events, competitions, and other student-centered activities
- Communication & Customer Service:
- Serve as the primary point of contact for dispatch-related inquiries
- Respond to high volumes of calls and emails with professionalism and urgency
- Maintain effective communication with students, employers, and internal staff
- Assist with disciplinary hearing setup and documentation
- High School Diploma or equivalent
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Strong verbal and written communication skills
- Comfortable managing a high volume of phone calls
- Exceptional time management and organizational skills
- Attention to detail and ability to work independently
- Willingness to occasionally support events after hours or on weekends
- Familiarity with apprenticeship programs or regulatory reporting is a plus
- Experience with databases such as Flashpoint is highly desirable
- Professional demeanor and commitment to service excellence
- Ability to handle sensitive information with confidentiality
- Team-oriented with a proactive and positive attitude
- Capable of prioritizing multiple tasks while meeting tight deadlines
- Strong problem-solving and follow-through skills
