Finance & Operations Coordinator (0,8 FTE)

We are looking for a highly structured and proactive Finance & Operations Coordinator to support our expanding EU-funded portfolio and help build long-term financial resilience within a growing organisation.

Role Purpose

The Finance & Operations Coordinator ensures financial integrity, operational efficiency, and compliance across the Institute. The role combines financial administration, EU grant management support, contract oversight, HR administration, and management reporting.

This is a pivotal role in a scaling, mission-driven organisation.

Key Responsibilities

Financial Management

  • Maintain accurate bookkeeping in coordination with the external accountant.
  • Process invoices, payments, and expense claims.
  • Prepare monthly financial reports (income/expenses vs budget).
  • Maintain rolling cashflow forecasts.
  • Monitor liquidity and reserves.
  • Coordinate VAT, payroll tax, and annual reporting compliance.

EU Grant & Contract Management

  • Support budgeting and financial setup of Horizon Europe and other EU projects.
  • Support project management: including project budgets, burn rates, and eligible costs.
  • Support financial reporting to the European Commission and consortium partners.
  • Maintain audit‑ready documentation (timesheets, invoices, procurement files).
  • Serve as a financial contact point for EU partners.
  • Maintain contract and grant register.

Operations & HR Administration

  • Support HR administration and payroll coordination.
  • Maintain personnel records in compliance with Dutch regulations.
  • Oversee software licenses and subscriptions.
  • Maintain structured digital filing systems.
  • Support governance and statutory compliance.
Profile

Required

  • 4+ years of experience in finance and/or operations roles.
  • Experience with EU-funded projects (Horizon preferred).
  • Strong budgeting and cashflow management skills.
  • Experience working with accountants and auditors.
  • Knowledge of Dutch financial compliance.
  • Advanced Excel skills.
  • Strong organisational skills and attention to detail.
  • Fluency in English.
  • Dutch strongly preferred.

Preferred

  • Experience with Horizon Europe financial reporting.
  • Experience in a non‑profit, research, or consultancy environment.
  • Familiarity with EU audits.
