The Parts Coordinator’s primary responsibility is to provide an exceptional customer experience while managing the ordering, receiving, storing, dispatching and returning parts. They verify accuracy and quality of parts received and ensure timely parts distribution to the shop.
Key Job Responsibilities- Ensure consistent execution of WOW (Wow Operating Way) plan.
- Communicate all customer requests and needs to appropriate team members.
- Work with vendors to order and receive all parts, confirming quality and quantity.
- Ensure timely parts distribution to the shop in accordance with the production schedule.
- Enter all parts invoices into the recommended Management Information System (MIS).
- Label and track all parts by the repair order number and communicate parts price changes.
- Order and receive supplemental parts in the MIS, monitor vendor performance, ensure daily reconciliation of parts vendor invoice history report.
- Ensure invoices and credit memos are posted and filed/scanned promptly.
- Ensure vendor invoices have correct negotiated discount to maintain profit margins.
- High School Diploma or equivalent.
- 1–3+ years of experience working with automotive parts (auto body parts is a bonus).
- Customer service oriented and strong organizational ability to manage pressure and conflicting demands.
- I‑Car Registered (working toward Gold Class certification).
- Communicate effectively, both verbally and in writing.
- Strong attention to detail and high accuracy.
- Effectively manage a fast‑paced environment, multi‑tasking under pressure.
- Working knowledge of vehicle repair practices.
- Familiarity with Management Information System:
Summit, Repair Centre. - Knowledge of Mitchell, Audatex.
- Parts sourcing experience:
Car‑part, Progi, APU, LKQ B2B. - Solid problem‑solving abilities.
- Above‑average computer proficiency and organizational skills.
- Ability to work well with others and achieve common goals.
- Other duties as assigned.
- Frequently required to bend, crouch, reach, handle tools.
- Lift in excess of 50 lbs. of materials.
