Overview
The Administrative Specialist is responsible for overseeing and executing the company’s daily administrative operations, ensuring an efficient and well‑organized office environment. The role involves assisting cross‑departmental communication and coordination, supporting the management team and business units with administrative needs, and serving as a key member of the company’s operational support system.
Key Responsibilities- Manage office supplies, facilities, and vendor coordination
- Support meetings and company events
- Coordinate meeting room bookings and prepare for meetings
- Assist with contract and budget management
- Provide administrative support to leadership and departments
- Oversee office equipment and fixed asset registration and maintenance
- Handle mail and courier dispatch and registration
- Assist in maintaining and optimizing the office environment
- Arrange business travel for employees in accordance with company travel policies (flight, hotel, ground transportation booking, rescheduling, and cancellations)
- Perform other general administrative duties
- Bachelor’s degree preferred
- 1–3 years administrative experience
- Proficient in Microsoft Office (Excel / Word / PowerPoint)
- Strong data organization and document management skills
- Excellent communication and coordination abilities
- Strong communication and organizational skills
- Experience in cross‑departmental coordination
- Bilingual in Chinese and English (preferred)
