Position SummaryThe AIA Billing Administrator is responsible for preparing, reviewing, and submitting accurate AIA-style billings for construction projects. This role works closely with project managers, accounting, and clients to ensure timely invoicing, compliance with contract terms, and proper documentation.
Key Responsibilities- Prepare and submit monthly AIA billings (G702/G703 or equivalent) in accordance with contract requirements
- Review contracts, schedules of values (SOV), change orders, and lien waivers to ensure billing accuracy
- Coordinate with Project Managers to collect billing information, percent complete, and backup documentation
- Track billing deadlines, retainage, and payment status
- Process change orders and update SOVs as needed
- Ensure compliance with owner, lender, and contractual billing requirements
- Resolve billing discrepancies and respond to client inquiries
- Maintain organized billing records and documentation
- Assist with the month-end close related to project billing
- Support audits and internal reporting as needed
- High school diploma or equivalent required;
Associate’s or Bachelor’s degree in Accounting, Finance, or Construction Management preferred - 2+ years of experience in AIA billing or construction accounting
- Strong understanding of AIA billing forms and construction contracts
- Proficiency in accounting or construction software (e.g., Sage, Viewpoint, Procore, Timberline)
- Advanced Excel skills preferred
- Excellent attention to detail and organizational skills
- Strong communication and time management abilities
- Experience with lien waivers and pay applications
- Knowledge of retainage and progress billing
- Ability to manage multiple projects and deadlines simultaneously
- Construction or engineering industry experience
