Basic FunctionProvides secretarial, clinical, and clerical support services such as preparing correspondence in final form, maintaining files, maintaining minutes, and conducting special projects as assigned to assist the functioning of the Quality Services Department and the Alliance Community Hospital as a whole. Provides secretarial support to the Case Management and Nursing Departments.
Job Duties- Meetings: room reservation, notice and agenda, and minutes.
- Type letters, memos, reports, policies/procedures, correspondence.
- Order and maintain supply of office and print shop supplies.
- Enter department schedule into the computer and complete pay sheets.
- Generate reports, spreadsheets, and graphs using a variety of computer programs.
- Function as secretary to committees as assigned (including, but not limited to, Infection Prevention, MSQA, Safety, UR/MR, Patient Care Peer Review, Quality Council, Critical Care, Nursing Policy/Procedure, Nursing Supervisors, and HFAP).
- Maintain records, files, and computer log for Medical Staff Quality Assurance program.
- Maintain confidentiality of all medical records, risk management files, quality files, and any information collected or discussed by the Quality Services Department.
- Responsible for checking emails and on-line learning assignments (SWANK) on a regular basis.
- All other duties as assigned.

Colleague has been instructed in providing customer service and on interacting with age groups as related to the department’s general client population, including use of appropriate interventions, communication, and skills to match the age and/or abilities of the patient/family.

- Minimum high school graduate with emphasis on secretarial skills and/or secretarial education beyond high school.
- Experience with filing, typing, and general office procedures.
- Knowledge of computers, computer programs and software, and medical terminology.
- Must be able to focus, prioritize job responsibilities, and pay attention to detail.
- Must be computer-literate to complete task(s) as required.
- Ability to see clearly and hear normal speaking tones.
- Able to communicate verbally, interpersonally, and over the telephone in a clear voice.
- Dexterity necessary to write legibly.
- Able to sit and stand for extended periods of time up to 7.5 hours a day.
