Summary Description:
The Program Manager leads the coordination, support, and oversight of the Helping Hands Program operated by local agencies across the Catholic Charities Network. This role focuses on providing training, technical assistance, program quality assurance, and resource development to ensure each participating agency can effectively carry out the Helping Hands Program.
The Program Manager acts as the primary liaison between the national office and member agencies, fostering collaboration, strengthening capacity, and ensuring consistent program standards are met in providing assistance for people experiencing a short-term, unforeseen emergency through one-time cash grants. In addition to providing emergency financial assistance, each agency offering the program provides additional support services as its clients work to regain stability after a crisis.
Key Responsibilities:
Network Coordination & Agency Support
- Serve as the main point of contact for agencies implementing the Helping Hands Program.
- Facilitate communication, collaboration, and knowledge-sharing across the CC Network.
- Provide regular coaching, support, and troubleshooting to agency leaders and program staff.
Program Quality Assurance
- Ensure all participating agencies adhere to the Program’s standards and CCUSA’s operational protocols.
- Conduct site visits and desk reviews to verify program fidelity, compliance, and quality.
- Develop tools, checklists, and guidelines for consistent implementation across agencies.
- Collect and analyze program data submitted by agencies for accuracy and completeness.
Training & Technical Assistance
- Design and facilitate training sessions, workshops, and webinars for local agency staff.
- Provide technical assistance in areas such as program planning, reporting, evaluation, and best operational practices.
- Develop and maintain resource materials, toolkits, and implementation guides.
Collaboration & Relationship Building
- Cultivate strong, supportive relationships with leaders across participating agency cohort.
- Manage a dedicated intranet channel for Helping Hands where agencies can post questions, communicate with one another, and see the collective impact.
- Strengthen the Community of Practice to ensure agencies continue to innovate and discover the most effective ways to achieve the goals of the Helping Hands program.
- Work with partners and community organizations to strengthen agency engagement.
Monitoring, Reporting & Evaluation
- Collect, consolidate, and analyze program data collected from participating agencies.
- Prepare progress reports, and evaluation findings for leadership, grantors, and stakeholders.
- Support agencies in improving data quality, tracking outcomes for reporting requirements.
Resource Support
- Contribute to CCUSA’s grant writing efforts by gathering program data, stories and outcomes of clients
- Help agencies build their local capacity to secure additional funding.
Qualifications:
Required
- 3+ years of experience in program management.
- Strong relationship-building and communication skills.
- Experience delivering training, technical assistance, or capacity-building support.
- Ability to analyze data, prepare reports, and manage multiple priorities.
- Proficiency with databases, spreadsheets, and collaborative online tools.
Preferred
- Experience working with networks, coalitions, or federated nonprofit models.
- Background in quality assurance or performance management.
- Grant management or compliance experience.
