We’re seeking an Event Logistics & Project Management Lead who thrives in dynamic environments and brings both strategic thinking and flawless execution to high-profile, science-driven events across the country. This position will be based onsite at our client’s location in Alexandria, VA, and is contingent upon contract award, with an anticipated start date of July 1.
What You’ll DoAs a key member of our integrated communications team, you’ll lead the planning, logistics, and execution of national-scale events and outreach activities. Your work will help shape how scientific and healthcare organizations connect with stakeholders, influencers, and the broader innovation ecosystem.
Core Responsibilities- Manage multiple large-scale or high-visibility events simultaneously with precision and professionalism.
- Respond quickly to evolving needs, including same-day or within-the-hour requests.
- Research, recommend, and secure audience-appropriate venues for national outreach opportunities.
- Develop engaging event formats—expo activations, networking sessions, breakout discussions, concurrent programming—that support strategic communication goals.
- Coordinate building and venue security needs with internal stakeholders and onsite teams.
- Oversee all logistical elements: venue contracts, technical requirements (electric, internet, rentals), signage, décor, shipping, and catering.
- Independently set up and break down smaller events and project spaces.
- Collaborate with branding and creative teams to source, price, and purchase signage and décor aligned with brand identity.
- Provide hands‑on support throughout each event, ensuring seamless setup, execution, troubleshooting, and breakdown.
- Manage onsite purchases of materials or equipment and submit documentation promptly post‑event.
A major part of this role involves designing, building, and managing expo-style booths and activation kits that bring scientific and healthcare narratives to life. You’ll apply best practices from major industry events—SXSW, CES, scientific conferences, press briefings, symposiums—to create experiences that resonate with diverse audiences.
You Will- Design, maintain, store, ship, and deploy modular expo kits tailored to each event.
- Coordinate with shipping partners to ensure timely delivery and return of materials.
- Manage early‑warehouse access or direct‑to‑site shipments as needed.
- Deploy and supervise onsite teams to handle setup, breakdown, and day‑of operations with minimal reliance on internal staff.
- Troubleshoot issues on the show floor with confidence, professionalism, and a solutions‑oriented mindset.
