The Scheduling Coordinator is primarily responsible for assisting Administrator and Director of Clinical Services with the maintenance of H&W staffing (24 hours) and any related duties pertaining to H&W personnel, to prepare payroll records and perform Administrative Assistant duties for the H&W department.
Key Duties- Prepares schedules for the Nurses, Registered Medication Aides (RMAs), Certified Nursing Assistants (CNAs) on all shifts for the Small House Health Care Center, Assisted Living and the Clinic. Keep leadership informed of staffing and overtime trends, making recommendations for ongoing improvement.
- Maintains daily analysis of the H&W Department staffing needs, arranges 24-hour coverage for all three shifts, and posts a notice of available shifts, utilizing regular staff and PRN staff.
- Adjusts monthly schedules posted for RN, LPN, RMAs and CNAs to cover for unexpected absences due to illness, emergencies, etc.
- Centralizes payroll coordination across health and wellness including timecard review and approval, time off requests. Escalates special requests and issues to leadership or human resources as appropriate.
- Coordinates annual evaluations for all team members. Leads the timely submission of payroll and HR process forms, e.g., Personnel Action Request Forms (PARFs), status change memos, etc.
- Reports to Administrator or designee when the need arises for additional or replacement personnel.
- Confers with and assists employees with scheduling problems related to work; serves as liaison between employees and the Administrator and refers employees to the Administrator as needed.
- Performs general clerical duties relative to employment activities.
- Assisted with training for H&W team members as needed.
- Maintains a sick leave/PTO log to ensure that leave requests are appropriate. Monitors PTO and sick leave balances.
- Assists with medical supply and equipment requests as needed. Train team members on medical supply charge system. Monitors compliance and retrains as needed.
- Assists in inclement weather to contact staff for their availability in order to meet staffing requirements.
- Assist with technical programs, systems (nurse call system), and hardware (e.g., printers) to identify opportunities to improve efficiency.
- Manages position-based journal (PBJ) reporting which impacts CMS Staffing Start rating. Ensures accurate and timely submission of reports. Checks for compliance with CMS requirements. Coordinates PBJ back-up coverage with the Admissions Case Manager when necessary.
- Troubleshoots the Palcare nurse call system in the Small House HCC in collaboration with the Administrator. Ensures server is functioning properly, trains team members as needed.
- Authorizes office supplies for all Health & Wellness departments, staying within budgetary guidelines. Researches and resolves variances or discrepancies. Tracks labor hours and variances.
- Must be a High School graduate or have attained the equivalent;
Associate degree preferred. - Previous experience preferred in payroll, accounting and staffing.
- Certified Nursing Assistant license highly preferred.
- Valid First Aid/CPR instructor license preferred.
- Must be able to deal tactfully and effectively with staff members using good communication skills as required.
- Must also have prior working knowledge of computerized payroll and accounting systems.
- Must be organized, flexible, pay attention to detail, and work well under pressure.
- Must have solid proficiency with Microsoft Office tools, e.g., Word, Excel, Teams, etc.
