The Database Manager plays a critical role in strengthening Bosque School’s fundraising, engagement, and reporting efforts by ensuring the integrity, accuracy, and strategic use of advancement data. As the backbone of the Philanthropy Office’s information systems, this position manages the school’s advancement database, supports gift processing and acknowledgement workflows, produces reports and analytics, and maintains systems that track donor engagement and prospect activity.

This role enables data-driven decision-making and supports meaningful relationships with donors, alumni, families, and community partners.

RESPONSIBILITIES Database Administration & Data Integrity
  • Serve as the primary administrator for Bosque School’s advancement database, maintaining accurate and complete records for donors, alumni, parents, students, staffulty, trustees, and friends of the school.
  • Establish and enforce data entry protocols, coding standards, and regular data hygiene practices.
  • Conduct routine audits to identify and resolve discrepancies in constituent, gift, and engagement records.
  • Maintain integrations between the advancement database and other institutional systems.
  • Create and maintain clear documentation for database procedures and best practices.
Gift Processing & Acknowledgement Support
  • Accurately enter and reconcile gifts, pledges, payments, matching gifts, and sponsor ships in collaboration with the Business Office.
  • Generate timely gift acknowledgements, pledge reminders, donor receipts, and year-end tax statements.
  • Track restricted and unrestricted giving in alignment with gift agreements and audit standards.
  • Support monthly reconciliation and prepare audit-ready reports as needed.
Reporting, Analytics & Data Insights
  • Produce queries, exports, dashboards, and reports to support annual fund efforts, leadership giving strategy, board reporting, and donor segmentation.
  • Generate regular fundraising metrics, including participation, revenue projections, pipeline health, and donor movement.
  • Support year-over-year analysis and the development of meaningful performance indicators.
Prospect Management & Research Support
  • Maintain prospect management systems, including moves management tracking, portfolios, and activity logs.
  • Create donor profiles and research summaries to support discovery meetings and cultivation strategies.
  • Partner with the Director of Philanthropy and Major Gifts Officer to track donor movement and identify new prospects.
  • Assist with campaign segmentation, stewardship programs, and alumni engagement initiatives.
  • Coordinate with the Business Office to ensure alignment between financial and advancement records.
  • Partner with Admissions & Enrollment to capture engagement insights relevant to philanthropy.
  • Collaborate with Marketing & Communications on mailing lists, segmentation, and event communications.
  • Provide database training and troubleshooting support to Philanthropy team members.
Professionalism & Community Engagement
  • Maintain a high standard of confidentiality, professionalism, and responsiveness.
  • Stay current on best practices in nonprofit database management and reporting tools.

QUALIFICATIONS AND EDUCATION REQUIREMENTS
  • Bachelor’s degree required; associate degree with significant relevant experience considered.
  • 3–5 years of experience managing nonprofit or school advancement databases.
  • High proficiency with Raiser’s Edge or comparable systems.
  • Strong skills in query building, reporting, and data segmentation.
  • Advanced Excel skills and comfort working with data analysis.
  • Experience with wealth-screening tools (e.g., iWave) preferred.
