Job Description

TLC is seeking a motivated and detail‑oriented Commercial Service Coordinator to support our Commercial Service Department. This role is responsible for managing third‑party customer accounts, coordinating invoice and contract documentation, and ensuring compliance with customer billing requirements.

The Commercial Service Coordinator plays an important role in maintaining accurate invoicing, supporting contract administration, and coordinating communication between internal departments and commercial clients. This position requires strong organizational skills, attention to detail, and the ability to manage multiple administrative processes in a fast‑paced environment.

Job Responsibilities

  • Provide professional and courteous customer service to clients, technicians, and coworkers
  • Utilize company systems such as Excel spreadsheets, Service Point Pro, Viewpoint, Microsoft Office, and internal databases
  • Support technicians with administrative needs including documentation and job information
  • Process and manage commercial service invoices, ensuring accuracy and compliance with customer billing requirements.
  • Review and adjust invoices as needed, including approved billing changes and applicable tax documentation.
  • Monitor third‑party invoice aging reports and assist with resolving outstanding billing issues.
  • Review and coordinate third‑party contracts, ensuring billing requirements and documentation are properly maintained.
  • Maintain customer records, billing information, and account documentation within company systems.
  • Manage customer compliance and invoicing portals, ensuring required information and documentation are kept up to date.
  • Coordinate and provide supporting documentation to customers as needed, including Certificates of Insurance (COIs), W9 forms, and related materials.
  • Generate reports and maintain internal trackers to support account management and issue resolution.
  • Serve as a liaison between internal teams and third‑party customers to ensure accurate communication and efficient account coordination.
  • Provide administrative support to the Commercial Service Department and assist with departmental processes and documentation.
  • Assist with team coordination to ensure phone coverage and efficient workflow
  • Maintain a clean, organized workspace and accurate documentation practices
  • Perform additional administrative tasks as needed to support department operations
