Senior Office Assistant – Office of Research
Position Summary: The Department of Internal Medicine Office of Research is seeking a dependable, detail-oriented student who can excel in fast-paced and varied administrative work. This position supports the Faculty Research Support Officer (FRSO) by responding to routine inquiries, maintaining task tracing sheets logs, organizing and archiving files, supporting internal communications and website updates, and formatting presentation materials. Work is completed under general supervision and requires independent judgment to prioritize tasks, follow established procedures, and elevate issues appropriately.
Responsibilities- Respond to routine inquiries from faculty and staff via emails assigned by the FRSO.
- Use standard/approved language and templates to acknowledge requests, answer common questions, and request missing information.
- Identify urgency and deadlines; elevate complex or time-sensitive items to the FRSO.
- Maintain tracking sheets (proposal deadlines, document status, internal task lists).
- Perform document intake and checklist completion; identify missing items and prepare follow-up lists.
- Update internal website under supervision.
- Format slide decks for internal presentations.
- Assist with special projects as needed.
Enrolled in a degree‑seeking program at UNM, enrolled at least half‑time (6 hours) at UNM for fall and spring semesters (audit hours do not count), and if work‑study, you must meet satisfactory academic progress.
Preferred Qualifications- Outstanding attention to detail and ability to follow specific instructions, analyze information, troubleshoot issues, prioritize tasks, and elevate appropriately using good judgment.
- Major or coursework in business administration, operations management, project management, accounting/finance, or related field preferred.
- Ability to work professionally in a fast‑paced clinical and research environment.
- Good written and oral communication skills.
- Detail oriented.
- Proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint, with ability to learn new systems and platforms.
- Strong organizational skills.
- Ability to complete tasks independently.
- Experience maintaining confidentiality of records and information.
- Work study eligible but not required.
