Position: Judicial Specialist 2 #00000502-23200, Full-Time, Perm in Albuquerque, NM

Overview

Judicial Specialist 2 #, Full-Time, Perm in Albuquerque, NM. Administrative Office of the Courts is recruiting for an at-will, full-time Judicial Specialist 2 in the Domestic Relations Division in Albuquerque, New Mexico. Working days/hours are Monday through Friday: 8 am – 5 pm.

Responsibilities
  • Open, docket, and close cases using the case management system based on judgment details.
  • Provide customer service information to a high volume of pro se litigants with general procedural information (not legal advice).
  • Open cases, determine case type/cause of action, and receipt filing fees if required; docket cases, review documents, enter data, scan documents, and link related scans; close cases with appropriate events, disposition type, and judgment details.
  • Receipt and reconcile monies, prepare bank deposits, and follow cash handling procedures.
  • Process, maintain, and distribute documents, files, and case materials; review filings for format, signatures, event codes, and fees.
  • Process and expedite orders of protection; disburse bond payments and maintain bond reports; reconcile billing and invoices from contracted vendors for Specialty Court Programs.
  • Prepare, proofread, edit, and mail notices and final orders; execute on hearings (orders to show cause, bench warrants, recusals, pleadings, etc.).
  • Maintain cash tills, ensure court fees are accurately assessed, paid, receipted, and recorded in the case management system.
  • Provide public case information to parties, attorneys, law enforcement, and outside agencies.
  • Organize jury-related processes: jury summons, alpha/random lists, voir dire sheets, and seating charts; assist with jury trials and related documentation.
  • Organize case files for microfilming, archiving, and destruction; prepare exhibits and hard copy case files; research files for case status data.
  • Certify and prepare court records and exhibits for appeals; ensure offices, courtrooms, and equipment are operational; maintain judicial calendars and schedules.
  • Serve as a court monitor; assist with clerical and technical duties involved in case processing, file maintenance, jury management, and clerical operations of the court.
  • Manage jury trial calendars and advise internal staff on jury procedures and updates during trials.
  • May serve as a courtroom clerk, assist with signatures, and provide support across magistrate or district courts within the jurisdiction.
  • Assist prospective jurors with online information and provide necessary forms; answer phones and manage correspondence and office supplies; coordinate participation with Specialty Programs.
  • Accept, maintain, and file court exhibits (may include hazardous items); file recordings and logs to ensure accurate record-keeping; troubleshoot recording equipment and maintain technical logs.
  • Act as a liaison between court personnel, litigants, and attorneys to advance court proceedings; perform other duties as assigned.
Competencies/Qualifications

The successful applicant should demonstrate knowledge of legal terminology and phrases; basic knowledge of jury service; filing methods; case processing; knowledge of Specialty Court Programs; research methodology; project management techniques; court fee accounting practices; court monitoring procedures;
Court Clerk’s Procedures Manual and Code of Ethics; language access policies and interpreting resources; and general organizational structure of the judiciary.

Work Environment and Physical Demands

Work is performed in an office or court setting. A valid driver’s license and travel may be required. The work schedule may include overtime. Qualifications – Minimum
  • Education:

    High school diploma or GED
  • Experience:

    At least 2 years in court case processing, legal support, advanced customer service, data processing, or related fields
  • Experience substitution: up to 1 year of related experience may be substituted with post-secondary education (30 semester hours = 1 year)
