29 hours per week (Monday-Thursday 8:00am-7:00pm, Friday 8:00am-5:00pm); part-time; non-benefited.
Position
Purpose:
The Workforce Development Division seeks a highly organized, innovative, and collaborative individual for an administrative position delivering support to the Executive Director of Workforce and assisting with daily operations.
- Provide clerical and reception support to the division’s office, including receiving visitors, responding to inquiries, managing office supplies and equipment, and taking minutes.
- Assist the Executive Director of Workforce with relevant tasks as needed.
- Coordinate appointments and meetings for division leadership, managing the Executive Director’s calendar.
- Collect and store course syllabi, manage online room requests and copier use, and submit building maintenance requests.
- Ensure course book/material orders are submitted on time and obtain desk copies/publisher site access for faculty.
- Collaborate with leadership to prepare and enter course schedules into the student information system (SIS).
- Maintain accurate division program webpages, post announcements on PVCC systems, manage bulletin boards and newsletter, and publish achievements on internal eNews.
- Order supplies and equipment via the Ariba electronic ordering system (eVa); comply with State Procurement Manual and college purchasing office.
- Assist with all instructional program issues; serve as liaison with college IT, SIS, and Building & Grounds.
- Provide consistent office staffing/coverage per the schedule.
May be required to perform other duties as assigned, and may be required to assist the agency or state government in the event of an emergency declaration by the Governor.
Qualifications- Proficient keyboarding and data entry skills with high accuracy.
- Working knowledge of word processing, spreadsheet, and related office software.
- Experience operating standard office equipment, including copiers and duplicating machines.
- Strong organizational skills; maintain records, track assignments, manage files efficiently.
- Ability to handle multiple projects concurrently while meeting deadlines.
- Capacity to follow guidance and coordinate work with multiple supervisors or stakeholders.
- Skill in prioritizing tasks based on urgency, deadlines, and operational needs.
- Effective customer service skills with professional communication with internal and external customers.
- Ability to work collaboratively with others in a team‑oriented environment.
- Training or coursework in administrative support, business operations, or a related field; or equivalent combination of education and experience.
- Experience in front‑facing or client‑serving roles requiring frequent interaction with the public or internal customers.
- Experience working in a community college environment or within the Virginia Community College System (VCCS).
- Experience using enterprise or financial management systems such as Emburse, eVA, and People Soft.
