Overview

Job responsibilities center on scheduling patient appointments and tests, greeting patients, and acting as a liaison between patients and medical staff. The role supports the clinic’s compliance program, protects patient confidentiality, and upholds CORE values daily.

Responsibilities
  • Under direct supervision, schedule patient appointments and tests in an efficient and timely manner. May include outside scheduling and/or surgical scheduling responsibilities.
  • Greet patients and their guests in a prompt, courteous, and professional manner.
  • Serve as a liaison between patients and medical staff.
  • Support and adhere to the New York Oncology Hematology Compliance Program, including the Code of Ethics and Business Standards.
  • Demonstrate understanding of patient confidentiality and comply with HIPAA laws and patient records guidelines.
  • Reference and uphold CORE values daily.
Essential Duties And Responsibilities
  • Verify date of birth and obtain all appropriate forms as required.
  • Answer incoming calls and messages related to scheduling; address callers’ needs and direct to appropriate department; communicate messages accurately and promptly.
  • Schedule new patients, patient referrals, and returning patients in the computer system in accordance with physician and/or office guidelines.
  • Receive incoming referrals, create accounts, enter insurance information, request initial records, and determine appropriate appointment times with providers; mail out new patient packets as needed.
  • Initiate all prior authorization requests and complete related documentation in the EMR.
  • Communicate appointment details to patients and gather necessary test information.
  • Adhere to scheduling templates including physician meetings, satellite schedules, rounding, and call coverage.
  • Prepare correspondence, forms, and other typing as requested by supervisor.
  • Process EMR orders in a timely manner and manage chart messages.
  • Manage bump lists and no-show reports promptly; monitor order queues to meet practice metrics.
  • Cancel/reschedule appointments as needed and notify appropriate personnel; comply with no-show policies.
  • Collaborate with Front Office Supervisor and Nursing Supervisor to optimize scheduling within the infusion room.
  • Meet metrics and follow checklists provided by supervisor.
  • Arrange for financial counseling for patients as needed.
  • Support other front office functions as requested and float to other sites remotely when needed.
  • Perform other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent required. Entry level; 0-3 years’ experience preferred in a medical office setting.
  • Knowledge of medical terminology and coding a plus.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Physical Demands

The physical demands described are representative of those required to perform the essential functions. Reasonable accommodations may be made. Job may require sitting for extended periods; occasional lifting of up to 30 pounds; manual dexterity for keyboard, telephone, and office equipment use. Vision must be correctable to 20/20 and hearing in the normal range for telephone contacts. Prolonged screen time may be necessary.
