About the Role:

The Payroll Specialist assists in all activities regarding the management of employee compensation at Carver Companies. They are the front line and primary point of contact for employees who have payroll-related questions or concerns, escalating unresolved or non-routine matters to the Payroll Manager. They perform a variety of tasks daily such as entering payroll information, calculating wages and making payments.

Key Responsibilities:

Payroll Processing & Administration
  • Serve as the primary point of contact for employees regarding payroll questions via phone, email, or in-person
  • Collect and verify timekeeping data for all employees across divisions
  • Calculate wages according to hours worked, including leaves, overtime, and bonuses
  • Enter payroll data into payroll systems accurately and maintain organized payroll records
  • Calculate and process taxes, deductions, and garnishments (e.g., child support, court orders)
  • Issue pay statements, mail paper checks, and distribute W-2s and other payroll documentation
  • Maintain complete employee personnel files, including I-9s and related compliance records
Compliance & Reporting
  • Ensure payroll processes comply with applicable federal, state, and Canadian regulations
  • Monitor and apply multi-state payroll rules, shift differentials, travel pay, incentives, and bonuses
  • Support payroll reporting and audits as required, including providing information to HR and Finance
  • Investigate and resolve payroll discrepancies, escalating non-routine issues to the Payroll Manager
  • Assist the Payroll Manager in daily payroll operations and special projects
  • Support continuous process improvements to enhance payroll efficiency and accuracy
  • Collaborate with HR, Finance, and division managers to ensure accurate and timely payroll administration
Qualifications:
  • High school diploma or equivalent required;
    Associate’s or Bachelor’s degree in Accounting, Finance, HR, or related field preferred
  • Experience in payroll, data entry, or accounting processes, with strong attention to detail and confidentiality
  • Familiarity with multi-state payroll regulations, Canadian payroll, and industry-specific payroll practices preferred
Physical Requirements:
  • Ability to perform occasional physical counts of assets, including lifting and moving items up to 25 lbs.
  • Ability to work at a desk or computer for extended periods.
Additional Requirements:
  • Must be authorized to work in the United States.
  • Subject to additional screenings which include but are not limited to background checks, drug testing, or driving record check, if applicable.
  • Work is primarily performed in a professional office setting with moderate noise levels and controlled temperatures.
