Duties Description The Office of Mental Health (OMH), Division of Forensic Services is recruiting to fill an Office Assistant 2 position within the Bureau of Institutional Sex Offender Treatment (BISOT). This bureau is responsible for the treatment of individuals confined to OMH secure treatment facilities as dangerous sex offenders requiring confinement under the Sex Offender Management and Treatment Act (SOMTA). BISOT is also responsible for the treatment of individuals classified as high risk of sexual recidivism and in need of intensive treatment while serving prison sentences in custody of the New York State Department of Corrections and Community Supervision (DOCCS).
The incumbent of this position will provide administrative support to the Director of the Bureau of Institutional Sex Offender Treatment and other professional staff within that Bureau. Specific duties to be performed may include, but are not limited to, the following:
* Provide administrative support to the Director of BISOT and other professional staff within the Bureau.
* Interact in person and by telephone, and handle and/or refer inquiries concerning work activities and projects.
* Request and coordinate records from the Department of Corrections and Community Supervision (DOCCS), Secure Treatment and Rehabilitation Center (STARC) at Oakview and Bridgeview as well as other state agencies and courts and local municipalities; organize records as they are received and follow up on missing records needed by professional staff within the Bureau.
* Enter sensitive data into the Bureau's data system and perform system inquiry while maintaining compliance with HIPPA and keeping all information strictly confidential.
* Schedule statutorily required annual review evaluations for residents confined in a secure treatment facility; ensure legally required paperwork is shared with the Office of the Attorney General.
* Prepare a variety of reports, documents, spreadsheets and correspondence using Word and Excel software.
* Track correspondence and treatment documentation requests required for the Article 10 statutorily required psychiatric evaluations; follow-up to ensure documents and requested information are received within required time frames.
* Assist with the coordination of FOIL requests for STARC; maintain a spreadsheet and ensure timely responses that adhere to legal mandates.
* Process, save, and track complaint letters and responses.
Minimum Qualifications Non-Competitive HELPS Opportunity:
One year of clerical experience.
Transfer Opportunity:
Candidates must have permanent status as an Office Assistant 2, Grade 9, and be eligible for lateral transfer, OR be eligible for transfer via 70.1 of the Civil Service Law.
