Description of DutiesThe Administrative Assistant provides comprehensive administrative support to the Office of the Vice President for Research and Economic Development at the University s position requires a proactive and detail-oriented individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The Administrative Assistant will be a key point of contact within the office, supporting various programs and initiatives aimed at fostering research and economic development.
EssentialFunctions
- Organize travel arrangements, including conference registration, domestic and international travel, and hotel accommodations.
- Reconcile purchasing card statements
- Assist in planning and coordinating events, workshops, and seminars related to research and economic development.
- Process travel reimbursements of expenses incurred.
- Serve as a liaison between the office and internal/external stakeholders
- Maintain physical and digital filing systems
- Process invoices, reimbursements, purchase orders and requisitions, travel reimbursement, in accordance with university policies
- Provide support for special projects and initiatives.
- Provide general administrative support including answering phones, scheduling meetings, and preparing correspondences.
- Provide backup support to the Administrative Assistant 2 for the VPRED and AVP calendars in AA2 absence.
- Perform other job-related duties as assigned by office of the VPRED
Minimum Requirements
- Associate's degree and 4 years of experience in an administrative role; OR High School diploma and 6 years of experience in an administrative role.
- Experience with Microsoft Office including Word, PowerPoint, Excel, and Outlook
- Experience with event planning and coordination.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- High level of discretion and confidentiality.
- Ability to work independently and as a team.
- Ability to work under pressure, meet posted deadlines, and handle multiple projects.

- Two years of administrative experience in an academic/higher education or non-profit environment.
$45,000 - $55,000 (DOE)
