Qualifications
- High School Diploma or GED (Required)
- 1 year of medical office experience is required (Preferred)
- 1 year experience with CPT and ICD-9 insurance coding (Preferred)
- 1 year of customer service experience (Required)
- No Certifications are Required or Preferred
- Maintain patient flow and collect necessary data.
- Manage patient flow to ensure that the patient is seen quickly and all information is available for treatment.
- Create patient medical record folder for new patients and prepare medical record for use during physician visit.
- Collect data such as vital signs, height, weight, etc.
- Manage medical record through established filing system.
- Document management including transcription, incoming mail, diagnostic reports, copy requests, etc.
- Verify that all patient information currently in the database is correct.
- Inform patient of scheduled appointment.
- Collect, post, and investigate patient payments in accordance with contractual agreements.
- Inform or pursue patient co‑pays and other patient responsibilities at the date of service.
- Enter patient charges at time of completed services accurately for billing.
- Deposit or post all payments to appropriate cost center accounts in agreement with explanation of benefits.
- Obtain and document all necessary insurance information appropriately.
- Monitor secondary insurance, workers compensation, and corporate services claims timely.
- Review explanation of benefits and follow all denials and pending claims.
- Investigate all patient billing inquiries.
- Perform all business office functions for the medical clinic.
- Screen and refer all incoming calls and visits to ensure accurate and timely communications.
- Schedule next appointment per physician orders.
- Attach all transcription notes to the medical record and file all charts timely.
- Enter all address change information into the database promptly.
- Assist in stocking, caring, and maintaining department equipment and supplies.
- Inform management of defective office equipment and document maintenance and repair.
- Prepare financial reports for the area and take meeting minutes per guidelines.
- Document and submit required information and data in a timely fashion.
- Clearly and accurately document designated processes, policies, products, service offerings, etc.
- Ensure documentation is tailored to expected readers/users.
- Use correct terminology and conform to required style and format.
- Adhere to hospital and departmental attendance and punctuality guidelines.
- Perform all job responsibilities in alignment with the core values, mission, and vision of the organization.
- Complete other duties as required and all job functions per departmental policies and procedures.
- Maintain current knowledge in present areas of responsibility through self‑education and ongoing educational programs.
- Attend staff meetings and complete mandatory in‑services, requirements, and competency evaluations on time.
- Demonstrate competency at all levels in providing care to all patients based on age, sex, weight, and demonstrated needs.
- For non‑clinical areas, attend training and demonstrate usage of age‑specific customer service skills.
- Wear protective clothing and equipment as appropriate.
