* Hires, trains and supervises department personnel for the purpose of performing the necessary functions typical of a registrar’s office. Conducts staff performance evaluations.
* Troubleshoots problems and communicates with past and present students, faculty, staff, administrators, and the general public concerning all aspects of registration and record keeping, the student information system and academic policy.
* Supports a service-oriented culture in the Registrar's Office that provides responsive, proactive communication which fosters a positive working relationship with students, faculty, staff, administrators and external audiences.
* Provides opportunities for professional development of departmental staff.
* Chairs and/or serves on various committees as needed or requested.
* Represents the Registrar’s Office at designated Academic Affairs and Enrollment Management meetings and other meetings as required
* Maintains memberships in professional organizations such as the American Association of Collegiate Registrars and Admissions Officers (AACRAO) and the Rocky Mountain Association of Collegiate Registrars and Admissions Officers (RMACRAO).
* Manages the budget effectively, predicting future events or needs that will have budgetary impact; reviews budget reports on a monthly basis to ensure effective planning and problem-solving.
* Maintains current knowledge of technology applications and management practices.
* Serves as a professional resource and the subject matter expert (SME) for office staff, the university, faculty and other staff, parents, students and external parties.
* Conducts regular Registrar’s Office staff meetings, and participates in roundtable discussion meetings with Academic Affairs, Financial Aid, Admissions and other departments when necessary.
* Works with faculty and staff on a daily basis to proactively resolve issues and challenges encountered by current and former students in a timely manner.
* Maintains and preserves the integrity of all student data and academic records.
* Conducts regularly scheduled audits and communicates with faculty to ensure accuracy and integrity of student data and academic records.
* Takes a lead role in implementation and updates of the Student Information System, including testing and resolving technical problems, and ensures its integrity, management and enhancement.
* Updates student academic standing (suspension/probation) each semester and notifies students of any change in status.
* Develops and supervises the delivery of grade reports, both interim and final.
* Assumes oversight of test for credit articulation ( e.g., CLEP, Advanced Placement)
* Controls access, monitors accuracy and communicates the need for timely submission of all interim and final grades, and grade changes by faculty according to university policy.
* Ensures the completeness, accuracy and security of student transcripts and pertinent records in compliance with the Family Educational Rights and Privacy Act of 1974 (FERPA).
* Develops, processes and updates an electronic calendar to monitor, plan, coordinate and process information regarding records and registration.
* Oversees and audits the evaluation and articulation of credits from other accredited institutions in accordance with state and university transfer policies.
* Works in partnership with Academic Affairs and faculty to develop, implement and monitor academic policies and procedures that support student matriculation and degree completion.
* Creates various communication and engagement campaigns in the Student Information System or other platform in an effort to keep students, parents, faculty, staff and administrators informed and engaged.
* Regularly communicates with faculty concerning academic regulations and the interpretations thereof; discuss with faculty on a regular basis issues that arise in the applications of these policies.
* Develops and processes ad hoc reports, diagnostic reports for records and registration, and reports as requested or needed.
* Supervises the preparation and delivery of academic transcripts and diplomas.
* Bachelors degree required /Masters degree preferred
* 5+ years experience in higher education/ academic records administration
* Excellent written and oral communication
* Ability to take initiative
* Attention to detail as required in daily work, short and long term planning
* Ability to effectively evaluate and analyze levels of efficiency and productivity
