Job Summary:

The Accounting Coordinator - Scholarships and Restricted Funds is responsible for managing and reconciling scholarship accounts and providing support for restricted funds accounting. This role ensures compliance with university policies and federal regulations and maintains accurate financial records. The accountant collaborates with the Financial Aid Office and the Grants Accountant to oversee fund disbursement, prepare financial reports, and provide exceptional service to students and stakeholders.

Key responsibilities include monitoring scholarship budgets, reconciling accounts, and assisting with audits.

Duties and Responsibilities:

  • Oversee and reconcile scholarship and restricted fund accounts.
  • Monitor scholarship budgets to ensure alignment with scholarship awards and track fund disbursements.
  • Perform regular audits of financial aid and scholarship accounts to ensure accuracy.
  • Assist in developing overall institutional scholarship budget.
  • Resolve discrepancies in student accounts and maintain detailed records.
  • Manage and maintain general ledger accounting for all scholarships held at university.
  • Work closely with the Financial Aid Office to coordinate fund allocation.
  • Prepare financial reports and statements for internal and external audits.
  • Provide data analysis to support decision-making in scholarship, aid, and restricted programs.
  • Train staff and stakeholders on financial aid, scholarship, and restricted fund policies and procedures.
  • Account for all endowment investments monthly. Monitor and inform management for liquidation of investments, if necessary, after scholarships are awarded.
  • Reconcile endowment investment statements and analyses, forecast trends, and review investment journal entries.
  • Review endowment gift agreements and planned giving instruments, recommend appropriate classification, and set up new endowment accounts.
  • Prepare annual Form 1042 and 1042-S for taxable scholarships for international students and analyze tax treaty status by country using specialized tax software.
  • Assist Grants Accountant with billing and financial reporting for grants and restricted funds.
  • Maintain files and records of all active restricted funds and awards. Archive historical awards.
  • Assist in preparation of Schedule of Expenditures of Federal Awards (SEFA).
  • Assist in responding to auditor requests related to annual Single Audit.
  • Performs all other duties as assigned

Required Minimum Qualifications:

  • Bachelor’s degree in Accounting, Finance, or related field

Preferred Qualifications:

  • Experience in higher education
  • At least one (1) year of accounting-related experience
