Overview
Medical Administrative Assistant - Pain Management (Healthcare)
The Medical Administrative Assistant schedules patients for surgery, various clinic visits, and diagnostic testing. Responsible for preparing surgical packets, providing a copy of the physicians preoperative directives and referring questions to clinical staff, obtaining insurance prior authorizations, medical clearances and completing surgical billing charges. This individual is the main point of contact for the assigned physician(s) and physician assistant(s). Success in this position is dependent on a safe and successful treatment experience for each patient as well as communicating well between the physician and other staff, departments, and patients.
Responsibilities- Coordinates patient care activities relating to surgery and/or procedure scheduling at hospitals, ambulatory surgery center, or in clinic with highly detailed information. Schedules pre-op and diagnostic testing. Obtains medical clearance. Coordinates special equipment as needed. Ensures pre-certification and/or prior authorization/determination are in place.
- Prepares surgical packet with physicians detailed instructions for patient, reviews physicians pre-op instructions with patient, and refers to clinical staff for questions that arise.
- Submits surgical codes to billing in a timely manner. Confirms billing is processed. Completes order reconciliation report and notifies provider(s) of outstanding orders. Answers telephone calls, email, and worklist reports in a timely manner and directs calls to appropriate staff. Receives and routes messages and documents such as laboratory results to appropriate staff.
- Keeps provider(s) organized by maintaining schedule with case information, meetings, travel, and speaking engagements. Manages OR block time to ensure efficiency standards are met. Preps surgical information for provider per preference.
- Maintains a current CV for provider as well as tracks CME credits and assists with medical license and DEA renewals.
- Provides coverage for peers if needed which includes precertification. Assists in daily office routine assignments as needed. Travels to satellite clinic per provider request.
- Performs all other duties as assigned.
- Education: High school diploma or GED required.
- Experience: Minimum of 1 to 3 years of administrative or secretarial support experience preferred.
- Technical
Skills:
Medical terminology and anatomy knowledge preferred. Proficient computer skills with knowledge of Microsoft Office required. Basic skills in Excel preferred. - Certifications/Licenses/Registrations: N/A
