The Patient Care Coordinator/Phlebotomist for the OPEN M Free Clinic will be responsible for the organized and smooth daily operations of the clinic reception and in house lab area. This person works closely with the Director of Health Services. The purpose of this position is to organize and manage the medical information that is generated in a primary care health clinic.

The position reports to the Director of Health Services. Major Responsibilities:
Day-to-Day Operations

  • Answer clinic phone and check voicemail, replying within 24 hours;
    Respond to e-mails in a timely manner.
  • Assist patients in answering general questions as able and make appointments for patients as needed.
  • Perform phlebotomy procedures as scheduled.
  • Track patients that are waiting for specific specialties.
  • Check and record lab refrigerators and pharmacy refrigerators daily.
  • Review and distribute faxes received each morning.
  • Acknowledge deliveries of refrigerated drugs.
  • Provide information for medical/community referrals as needed.
  • Maintain and produce current patient schedules for clinics and specialties.
  • Maintain electronic medical records for patients and providers.
  • Provide reminder calls for all patients before each clinic.
  • Set up charts for clinic.
  • Print all paperwork and reports needed for patient care.
  • Process new patients as they come in for clinic, verifying eligibility and contact information.
Donations and In-Kind Letters
  • Acknowledge tangible donations to the clinic and distribute them to proper locations.
  • Provide written acknowledgment to the donor and keep a copy for OPEN M’s records.
  • Organize and keep inventory of upstairs storage.
Track Patient No Shows and Dismissals
  • Record any cancellations or “no shows” after each clinic.
  • Track and maintain notification of client no-show warning and dismissal.
Train and Assess Volunteer and Students
  • Train volunteers/MA or other externs about Front Desk procedures.
Hours of Operation
  • Very depending on clinic schedule, evening required
Must be team oriented, flexible, and able to multitask.
  • Must have excellent organizational skills and strong verbal and written communication skills.
  • Must have current computer skills and ability to learn new computer programs.
  • Must be able to work in a fast-paced environment and effectively communicate.
  • Must have time management skills.
