Position Summary
The Facilities and Grounds Coordinator provides essential administrative, operational, and field coordination support to the Facilities & Grounds department. This role plays a key part in ensuring facilities and grounds operations run smoothly by supporting leadership, coordinating vendors, tracking documentation and budgets, and assisting with project oversight. The ideal candidate is highly organized, detail-oriented, and comfortable working both in an office setting and on‑site with vendors and contractors.
Key Responsibilities- Provide day‑to‑day administrative support to the Senior Manager of Maintenance & Grounds and the Director of Facilities & Grounds.
- Assist with scheduling, coordination, and follow‑up for facilities and grounds projects.
- Prepare reports, summaries, and documentation related to departmental activities and performance.
- Support budget tracking, purchase orders, invoicing, and expense reconciliation as assigned.
- Maintain organized digital and physical records for the department.
- Serve as a primary point of contact for vendors and contractors supporting Facilities & Grounds operations.
- Coordinate vendor access, schedules, and on‑site visits.
- Attend on‑site meetings with vendors to review scope of work, timelines, and expectations.
- Assist leadership with monitoring vendor performance and contract compliance.
- Collect and organize documentation related to vendor work, including invoices, service reports, and certifications.
- High school diploma or equivalent required; associate’s degree or coursework in facilities management, business administration, or a related field preferred.
- Previous experience in facilities coordination, administrative support, or vendor management strongly preferred.
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office or similar productivity tools.
- Excellent communication and interpersonal skills.
- Ability to work both independently and collaboratively in a team environment.
- Willingness and ability to attend on‑site meetings and walk facilities and grounds as needed.
Physical Requirements
- Combination of office‑based work and time spent on zoo grounds.
- May require walking, standing, or light physical activity during site visits.
- Occasional exposure to outdoor conditions.
