Position Summary
We’re looking for a part-time administrative assistant to serve as the Assistant to the Canon to the Ordinary. This person will provide high-level operational, technical, and planning support, with a focus on systems management, event coordination, and problem-solving. This person who fills this role should be curious, adaptable, and have the ability to improve processes while supporting diocesan leadership.
The ideal candidate is a Christian who is systems-minded with strong problem-solving ability.
Hours, LocationApproximately 20 hours per week. Must be in the office at least three days a week (Monday, Tuesday, Thursday, Friday) between 9am and 3pm. May be asked to answer the phone remotely between 8:30am and 4:00pm.
Pay Range$22-24/hour
Key ResponsibilitiesSystems & Platform Management
- Manage and maintain church management software (Ministry Platform), including:
- Daily administration and data integrity
- Troubleshooting issues and user support
- Learning system capabilities and recommending improvements
- Serve as in-house expert on church tools, systems, and administrative processes
- Support the ADGL ordination/transfer process by:
- Managing digital and paper files of all ordinands/transfers
- Tracking individuals through the process
- Serving as the first point of contact for ordinands/transfers
- Initiating and tracking background checks
Executive & Clergy Support
- Serve as personal assistant to the Canon to the Ordinary (The Rev. Canon Mark Hottel)
- Anticipate needs, manage priorities, and coordinate schedules as assigned
- Create and document certificates for ordinations, domicile, licensure, etc.
- Review and edit documents for grammar, spelling, punctuation, and clarity
Event Planning & Logistics
- Plan and manage formation retreats (two annually) and special events
- Coordinate venues, food, lodging, schedules, speakers, and honorariums
- Support special liturgy preparation as needed
- A Christian who is growing in their relationship with Christ and affirms a gospel-centered doctrine and theology
- Ability to manage confidential information with discretion
- Comfort learning and managing technology platforms and databases
- Strong organizational and planning skills
- Experience in project coordination, event planning, or nonprofit operations
- Ability to manage multiple priorities in a dynamic environment
- Excellent communication and interpersonal skills
- Proficiency with standard office software and systems (Google Suite, Microsoft Office, Adobe, Canva)
- Able to work independently and in collaboration to follow established procedures
