The Corporate Services Department consists of six divisions, including By-law Services;
Customer Services; HR Services;
Legal, Real Estate and Adjudicative Services;
Legislative Services; and Technology and Innovation Services; each committed to the continual enhancement of services for our residents, taxpayers and internal customers.
Legislative Services coordinates the Town's governance structure, such as Town Council and its Standing Committees, including the preparation of meeting agendas, minutes and correspondence. Legislative Services also administers municipal elections, oversees the Town's records and information management program, and coordinates the Town's commitment to fully accessible services
Reporting to the Manager of Legislative Services/Deputy Clerk, the Information Management Student will gain valuable experience in local government while assisting with the delivery of key information management projects.
This position will also work closely with the Legal, Real Estate, and Adjudicative Services division which is responsible for the administration of the Town’s Administrative Monetary Penalty System (AMPS) and management of the Town’s real estate portfolio, including acquisitions, disposals, lease agreements, license agreements and permission to enter agreements.
Job Duties- Supporting the Legislative Services and Legal, Real Estate and Adjudicative Services Divisions with the implementation of records and information management modernization initiatives and other special projects.
- Performing data, information, and document migration from legacy to cloud-based systems.
- Assisting in the organization, drafting, and updating of procedures and work instructions.
- Performing various administrative tasks within the Legislative Services and Legal, Real Estate and Adjudicative Services Divisions, including data entry, organizing, and updating internal files and processes.
- Aiding in the administration of the municipal records management program, specifically digitizing permanent records.
- Updating public communication materials as needed.
- Executing other duties as assigned.
- One (1) year completed of a College or University program in Records and Information Management, Library and Information Sciences or relevant field of study.
- Excellent inter-personal and communication skills (both oral and written).
- Excellent organization, time management, prioritization, and project planning skills.
- Excellent attention to detail.
- Demonstrated interest in acquiring new software skills and an ambition to thrive in a dynamic, customer-focused working environment.
- Compensation :
The compensation for the summer student position is outlined below and is based on the student’s current year of study: (College: $18.47 - $19.55; University Undergraduate: $20.09 - $21.71; Masters: $22.25 - $22.79; post-graduate: $23.33 - $24.4) - Hours of Work – The hours of work are from 8:30 a.m. to 4:30 p.m., Monday to Friday. This role requires students to work in the office.

- This position works on-site from 8:30 a.m. to 4:30 p.m. Monday to Friday.

- Registrar’s letter confirming enrollment and academic eligibility for the next semester;
- Letter confirming your anticipated graduation date;
- Letter indicating that you have more credits left to complete in your current degree;
- Letter confirming your application to a program next term/semester at a post-secondary education establishment.
