Description

The Office Manager will work closely with the Regional Operations Manager and Senior Partners in managing the day-to-day operations of the Youngstown office. In addition, the Office Manager will also be responsible for general office administration tasks as well.

Primary Tasks
  • Welcome clients and visitors by greeting them, in person or on the telephone
  • Maintain reception area cleanliness and monitor potential security risks
  • Distribute and oversee incoming and outgoing mail
  • Manage and oversee the day-to-day operations of the Youngstown Office
  • Manage and oversee all non-professional staff
  • Oversee all duties related to interviewing and onboarding new team members
  • Coordinate all training for new hires
  • Facilitate team payroll / timecard approvals and PTO requests
  • Mediate team issues when needed; elevate to HR when appropriate
  • Liaison with attorneys and other management
  • Preparing reports, agendas, and presentations for meetings
  • Serve as the office contact for all area support agencies
  • Assist with communication among employees
  • Assist with internal and external promotional events
  • Coordinate office participation in various volunteer and community events
  • Coordinate the maintenance and security of the physical office
  • Coordinate all office supply purchases for the Youngstown Office
  • Support all technology implementation within the Youngstown Office
  • Monthly/weekly/quarterly team meetings as needed

    Regular, consistent, punctual attendance
  • Other duties as assigned
Requirements Required Skills/Abilities
  • Exceptional communication skills
  • Ability to work well under pressure and to exercise good judgment
  • Strong attention to detail
  • Familiarity with a variety of concepts, practices, and procedures in the legal industry
  • Ability to lead and direct by utilizing a wide degree of creativity
  • Professional demeanor, positive attitude, and the ability to multi-task in a fast-paced environment
  • Working knowledge of Litify Case Management software is a plus
  • This is a full-time, salaried position with standard hours Monday – Friday. A minimum of 40 hours per week is to be expected, based upon projects
Education and Experience
  • High school diploma or equivalent required.
  • Minimum three years of management experience
  • Bachelor’s degree strongly preferred
