Site Coordinator - Schofield Barracks Hawaii

LOCATION: Wayland Baptist University (WBU) – Hawaii Campus – Schofield Barracks

SUPERVISED BY: Senior Academic Advisor

POSITION CLASSIFICATION: Non-exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES: The Site Coordinator oversees all aspects of the academic operations related to the WBU office and classrooms at the Schofield barracks and Tripler Army Education Centers (EC) and its officials. This position represents WBU when interacting with other anchor schools to provide smooth coordination of academic affairs for students and faculty.

SPECIFIC TASKS AND DUTIES:

  • Provide academic advising and guide students to register and properly request military TA.
  • Plan and organize Education Fairs and marketing efforts for WBU and general education on the base (bi-annual and as needed).
  • Attend and promote WBU at monthly New Arrival Orientations (NAO).
  • Attend weekly Education Center (EC) meetings and take/publish minutes in rotation.
  • Assure proper care and operation of Classroom equipment regularly.
  • Issue student/faculty/staff base passes each term.
  • Maintain proper running and functioning of site office and equipment.
  • Assist Base professors with class coordination/ office needs.
  • Act as liaison between EC staff and WBU.
  • Maintain collegial rapport with other EC anchor school reps

MINIMUM QUALIFICATIONS:

Education:

Associates’ degree is required.

  • Bachelor’s Degree is preferred.

Experience and Knowledge:

  • Experience in higher education academic advising is preferred.
  • Two (2) years of proven experience in an office setting is required.

Skills and Abilities:

  • Excellent oral, written, analytical and interpersonal communication skills.
  • Ability to multi-task and meet deadlines.
  • Independent problem solving, self-direction, and strong time management skills.
  • Skilled with word processing, spreadsheet, databases, and PowerPoint.
  • Must be able to build and foster relationships with internal and external stakeholders.
  • Excellent organizational skills and attention to detail.
  • Ability to manage sensitive and confidential information and situations with tact, professionalism and diplomacy.

Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers. The office maintains a controlled temperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery.

Hours of Work: Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. External campuses - Although full-time, nonexempt external campus employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours.

Normal work days on all campuses are Monday through Friday.

Physical Demands:

  • Frequently stand and walk;
  • Frequently flex upper trunk forward while sitting or standing;
  • Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
  • Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;
  • Occasionally push or pull objects;
  • Occasionally flex upper trunk forward at the waist and partially flex at the knees;
  • Frequently reach at or below shoulder height, and occasionally reach above shoulder height

CONDITIONS OF EMPLOYMENT: Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and provide recruitment assistance to external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.

Must have and maintain a satisfactory driver’s record.
