Job Description :
Pay Range: $27hr - $32hr
- The Site Project Coordinator supports the Site Manager and site team with construction site administrative operations and coordination activities.
- This role provides on-site administrative, reporting, and logistical support to ensure efficient site operations and effective communication across project stakeholders.
- Support site administration and coordination activities for construction site operations.
- Collect, organize, and manage reports related to project progress and site activities.
- Assist in preparing progress, site, project, and management presentations.
- Compile and manage weekly reports, meeting minutes, and related documentation.
- Track action items and deliverables from meetings and follow up to ensure timely completion.
- Draft and distribute communications including emails, reports, and internal updates.
- Participate in meetings, record and distribute minutes, and monitor assigned action items.
- Support site support team meetings by tracking and following up on action items.
- Manage onboarding and offboarding processes for site personnel.
- Greet and support site visitors by communicating site procedures and requirements.
- Maintain updated lists of site personnel, certifications, and emergency contact information.
- Track on-site personnel timesheets and working hours and maintain dashboards and reports.
- Maintain accurate registers of personnel present on site.
- Perform general administrative duties and provide backup support as needed.
- Manage delivery records and coordinate sending and receiving of parcels.
- Support administration of offices, facilities, vehicles, transportation, and living quarters.
- Coordinate with local service suppliers and contractors such as housekeeping, warehouse, and security providers.
- Monitor office supply and PPE inventory and place orders as required.
- Support coordination of travel, lodging, housing, and relocation for site personnel and visitors.
- Collaborate with mobility, travel, and relocation partners to support site workforce needs.
- Maintain records, databases, filing systems, and archives in both electronic and physical formats.
- Upload, manage, and maintain documents in SharePoint and other document management platforms.
- Organize team activities and events to promote engagement and collaboration
- Support a respectful, inclusive, and productive site culture.
- Proficiency in Microsoft Teams, SharePoint, Excel, Word, PowerPoint, Outlook, Forms, and related tools.
- Experience with SAP systems including time entry and purchasing platforms.
- Familiarity with document management, IT ticketing, and blueprint viewing tools.
- Strong written and verbal communication skills.
- Strong organizational and time management skills.
- High attention to detail in reporting and documentation.
- Ability to manage multiple tasks in a fast-paced environment.
- 5+ years of administrative experience.
- Experience supporting construction or project-based environments preferred.
- High school diploma or equivalent required.
- Additional education or certifications in administration or project coordination preferred.
