General Administrative Assistant – SAFEWAY SIGN COMPANY, Adelanto, CA

The General Administrative position provides comprehensive support to ensure efficient operation of the office. This role handles a variety of administrative, clerical, and organizational tasks, supporting managers, staff, and customers. The individual must be detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:
  • Providing day-to-day office support, including organizing files, assembling order packets, assisting the Sales team, and ensuring the office is well-maintained.
  • Handling incoming and outgoing communications, including answering phones, responding to emails (MS Outlook), and directing inquiries to the appropriate person.
  • Maintaining accurate records and managing quotes under the State Contract (DGS); preparing quotations, sending quotes, entering orders into the ERP system, responding to SIO coordinator inquiries, and ensuring all files are properly organized and kept current both digitally and physically.
  • Coordinating shipments for various orders and providing logistics documentation.
  • Troubleshooting basic IT issues and coordinating with IT support for more complex problems.
  • Ensuring compliance with relevant laws and regulations, such as data protection laws or health and safety regulations.
  • Handling any other administrative tasks as needed to support the organization.
  • May require travel within California, including occasional overnight stays, to support sales activities.
Qualifications:
  • High school education or equivalent.
  • Minimum of 5 years of experience in contract administration or a related field.
  • Excellent communication skills.
  • Must be able to read, write, and speak in English.
  • High attention to detail and strong organizational skills.
  • Proficiency in Microsoft Office Suite and knowledge of MS Excel.
  • Ability to manage multiple tasks and projects simultaneously.
Preferred Qualifications:
  • Experience in the construction industry.

Candidates invited to interview will be asked simple math and spelling questions, and will be given an on-the-spot Excel test to prove proficiency.
