Position SummaryActon Ford is seeking a dependable, detail-oriented Automotive Accounting Office Clerk to support daily dealership accounting and administrative operations. This role is essential to processing vehicle deals, maintaining accurate financial records, and supporting service and sales operations.
We operate in a team-oriented accounting office, where cross-training is part of our culture. Team members work collaboratively and support one another to ensure all office functions are completed accurately and efficiently in support of the dealership as a whole.
The ideal candidate is organized, adaptable, and comfortable working in a fast-paced automotive environment.
Primary Responsibilities- Deal Processing & Vehicle Administration
- Process vehicle deals and funding packets
- File vehicle sales paperwork accurately and efficiently into deal jackets
- Prepare and maintain trade-in vehicle jackets
- Follow up on all lien payoffs to ensure timely return of titles
- Issue stock numbers for new vehicle invoices
- Prepare key tags, window tags, and vehicle folders
- Service & Warranty Support
- Close repair orders accurately in the DMS
- Scan warranty repair orders to warranty administrators
- Scan parts invoices and repair orders into the DMS system
- Accounting & Reconciliation
- Reconcile daily deposits and petty cash
- Assist with month-end reporting and schedules
- Support end-of-month accounting procedures
- Review and maintain accounting schedules
- Administrative & Team Support
- Maintain organized office files (physical and digital)
- Communicate with Sales, Service, and Parts departments to ensure accurate data entry and paperwork completion
- Participate in cross-training across accounting office functions
- Support general administrative responsibilities as needed
- Perform additional duties as assigned
- Previous dealership experience preferred
- Experience with Dealership Management Systems (CDK or similar) preferred
- Strong understanding of basic accounting principles (debits, credits, T-accounts, reconciliations, etc.)
- Ability to understand how transactions flow through the general ledger
- Experience reviewing and maintaining accounting schedules
- Strong attention to detail and accuracy
- Ability to manage multiple tasks in a collaborative team environment
- Proficient in Microsoft Office, Google Drive, or similar productivity platforms
- Strong communication and organizational skills
