The Transport Planner Administrator provides administrative and coordination support to the transport planning function, ensuring the efficient scheduling, monitoring, and documentation of transport operations. The role supports day-to-day planning activities, maintains accurate records, and acts as a key point of contact between drivers, planners, customers, and internal teams.
Transport Planning Support- Assist transport planners with daily route planning and scheduling of vehicles and drivers
- Input and update transport plans in relevant transport management systems
- Monitor transport schedules and flag potential delays or issues to planners
- Support contingency planning for vehicle breakdowns, delays, or last-minute changes
- Maintain accurate records of deliveries, collections, mileage, and driver hours
- Process transport‑related documentation, including delivery notes, PODs, and timesheets
- Update spreadsheets and internal systems with transport and performance data
- File and archive transport documentation in line with company procedures
- Act as a point of contact for drivers regarding schedules, paperwork, and queries
- Liaise with customers, suppliers, and internal departments to confirm delivery details
- Communicate changes to transport plans clearly and promptly
- Support compliance with transport legislation, including drivers' hours and vehicle checks
- Assist with audits by ensuring records are complete and up to date
- Produce routine reports on transport performance, KPIs, and exceptions
- Support the wider transport and logistics team as required
- Carry out ad hoc administrative tasks to support operational efficiency
- Strong organisational and time‑management skills
- High attention to detail and accuracy
- Good communication skills, both written and verbal
- Ability to work under pressure in a fast‑paced environment
- Confident using Microsoft Office (Excel, Word, Outlook)
- Ability to prioritise tasks and manage competing deadlines
