, where you’ll play a key role in supporting service reception activities, coordinating appointments, and ensuring an exceptional customer experience.
To support the Service Reception team by managing service appointments, assisting customers with vehicle-related enquiries, and ensuring all administrative and system-related tasks are completed in line with company policies and manufacturer standards.
Key Responsibilities- Answer and respond to service appointment bookings, advising customers on schedules and availability.
- Handle all incoming calls in accordance with the recommended call checklist and phone etiquette standards.
- Prepare ELSA inspection checklists prior to vehicle arrival.
- Check recall actions and TPIs through ELSA to ensure pre-preparation of service requirements.
- Communicate parts requirements to the Parts Department via the TKP system.
- Open job cards before customer arrival and ensure documentation readiness.
- Identify and highlight potential repeat repair cases.
- Open DISS reports by default for all repair cases.
- Update and maintain accurate customer information, including contact details, in the system.
- Provide professional phone introductions to new customers.
- Maintain bookings sheets on the DMS system and update the TKP planning system.
- Redirect calls to relevant personnel when necessary.
- Offer onward transportation and support dialogue reception processes.
- Inform customers of ongoing promotions and service campaigns.
- Forward daily schedules to relevant service and workshop personnel.
- Assist in creating pre-picking lists for the Parts Department.
- Report operational issues to the Reception Supervisor or Service Manager.
- Perform additional duties as assigned by management.
- Education: Degree or Diploma in any discipline
- Experience: Minimum of 2 years’ experience in a similar role
- Languages: Fluency in English is essential
