As Travel Coordinator, you will be the operational backbone of ember's travel design function, working closely with and reporting directly to the Travel & Operations Manager. While the Travel & Operations Manager leads the creative vision and client relationship, you ensure that everything behind the scenes is organised, accurate and running seamlessly.
This is not a client-facing role. It is a role that requires exceptional organisational skills, a love of detail and a genuine interest in the world of luxury travel. What You'll DoResearch & Itinerary Support
Support the Travel & Operations Manager with destination research, accommodation sourcing and experience curation for bespoke client journeys. Compile detailed research documents, comparison notes and destination briefings that help inform itinerary decisions. Keep a close eye on new hotel openings, emerging destinations and exclusive access opportunities, feeding relevant intelligence into the team.
Booking & Logistics Coordination
Manage the end-to-end booking process for all travel components: flights, accommodations, transfers, dining reservations, experiences and any special arrangements, with exceptional accuracy and attention to detail. Liaise with suppliers, hotels, DMCs and experience providers to confirm availability, secure reservations and follow up on outstanding items. Ensure all logistics are tracked, documented and communicated clearly.
Maintain and regularly update ember's supplier database, ensuring contact details, product information, rates and partnership notes are current and well-organised. Research new suppliers and service providers across global destinations to expand ember's network. Support the evaluation and onboarding of new partners as the business grows.
Document Preparation
Prepare and format polished travel documents, journey briefs, booking confirmations and operational files that meet ember's brand standards. Ensure all client-facing documents produced by the Travel Designer are accurate, well-presented and error-free before delivery.
CRM & Systems Management
Maintain accurate and up-to-date records across ember's CRM and operational platforms, including booking details, client notes, supplier confirmations and financial records. Develop familiarity with ember's internal tools and systems, some of which are newly launching, and contribute to building efficient operational workflows.
Who You AreYou are early in your career but serious about it. You have some prior experience in travel, hospitality, operations or a related field, enough to understand how the industry works and what it takes to keep complex logistics moving. You are methodical, highly organised and genuinely energised by the operational side of things.
You take pride in accuracy. A misplaced detail or an unconfirmed booking bothers you in the same way a crooked picture bothers someone else. You follow through, you follow up and you don't let things slip.
You are a fast learner who is comfortable picking up new tools and systems quickly. You thrive in a structured support role where your contribution directly enables someone else to do their best work. You're a team player who understands the value of the role you play, even when you're not in the room with the client.
You are professional, discreet and well-presented, with strong written English and the ability to communicate clearly with suppliers and partners around the world.
What You'll Need- Some prior experience in travel, operations, coordination or a related field

- Proficiency in Google Suite; comfortable learning new platforms and tools
- Ability to manage multiple tasks simultaneously in a fast-paced environment
- A proactive, solutions-oriented mindset
Preferred:
- Experience in a luxury travel or lifestyle environment
- Familiarity with CRM platforms or booking/itinerary tools
- Knowledge of global destinations, hotel brands or DMC networks
