Key Responsibilities

  • Manage the CEO's travel plans, including booking flights, accommodations, visas, and itineraries, ensuring all arrangements are seamless and cost-effective.
  • Schedule and follow up on meetings, appointments, and conference calls; prepare agendas, take minutes, and distribute action items as needed.
  • Handle email correspondence on behalf of the CEO, including drafting responses, prioritizing messages, and maintaining confidentiality.
  • Organize and maintain executive files, documents, and records for easy access and compliance.
  • Coordinate with internal teams (e.g., engineering, fabrication, and operations) to gather information and support decision‑making.
  • Assist in preparing reports, presentations, and other materials related to steel fabrication projects, such as container enclosures, prefabricated data center modules, and tanks.
  • Perform general administrative duties, including managing office supplies, greeting visitors, and supporting ad‑hoc projects.
Skills

Required Qualifications
  • Bachelor's degree in Business Administration, Secretarial Studies, Engineering, or a related field.
  • 3-5 years of experience in a secretarial, administrative, or executive assistant role, preferably in a manufacturing or engineering environment.
  • Fluency in English (both written and spoken) is essential for effective communication.
  • Proven ability to manage multiple tasks, prioritize workloads, and meet deadlines in a fast‑paced setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools (e.g., Google Calendar or similar).
  • Strong organizational, interpersonal, and problem‑solving skills.
Preferred Skills and Advantages
  • Knowledge of Arabic language (spoken and written) to facilitate communication with the CEO and regional stakeholders.
  • Familiarity with Hindi to enhance interactions within our multicultural team, which includes many Indian professionals.
  • Background or experience in steel fabrication, genset enclosures, engineering, or related industries, allowing for better understanding of technical discussions and documentation.
  • Experience in a similar role within the UAE or Middle East, with an understanding of local business etiquette and regulations.
