Join Amwaj Jewellery as an Administrative Assistant (Sales & Procurement)

Are you highly organized, detail-oriented, and experienced in administrative and purchasing activities?
Amwaj Jewellery
, part of a prestigious business division, is looking for a proactive Administrative Assistant to support sales operations, procurement processes, and compliance requirements in a fast-paced luxury retail environment.

Key Responsibilities Administrative Support
  • Manage day-to-day office administrative activities including filing, correspondence, and scheduling.
  • Maintain accurate records and documentation for administrative and procurement activities.
  • Assist in preparing reports, presentations, and internal documentation as required.
Purchasing & Procurement
  • Create, process, and track Purchase Orders (POs) in line with company policies and approval workflows.
  • Coordinate with vendors to confirm order details, pricing, and delivery schedules.
  • Monitor purchase requisitions and ensure timely follow‑up and approvals.
Goods Receipt & Inventory Coordination
  • Verify and record Goods Receipt Notes (GRNs) upon delivery of materials.
  • Ensure accurate matching between Purchase Orders, invoices, and delivery documentation.
  • Coordinate with CPD and Inventory teams to update stock records and resolve discrepancies.
Compliance & KYC
  • Collect, review, and verify supplier KYC documentation (Trade License, VAT Certificate, Bank Details, etc.).
  • Maintain up‑to‑date vendor records in the ERP system.
  • Ensure compliance with internal policies and regulatory requirements at all times.
Role Purpose

To provide efficient administrative and procurement support to the Sales Department by managing purchasing activities, maintaining accurate documentation, coordinating with vendors, and ensuring compliance with KYC and company policies.

What We’re Looking For
  • Education: Diploma or Bachelor’s Degree.
  • Experience: 2–3 years of proven experience in administrative and purchasing roles, preferably within a premium or structured business environment.
Professional Skills
  • Strong understanding of procurement processes and inventory coordination.
  • Excellent organizational and communication capabilities.
  • Exceptional attention to detail with the ability to manage multiple priorities seamlessly.
Languages

Fluency in English is essential; proficiency in Arabic is a strong advantage.

Systems Expertise

Proficient in MS Office applications and ERP platforms such as Oracle or equivalent.
