RoleSummary
The Service Operations Executive plays a central role in ensuring the efficient delivery of support services across the organization. Positioned within the Administration and Support Services Unit under the General Services Department, the role encompasses guest management, workspace readiness, office supply coordination, and administrative support to ensure the smooth operation of daily business activities. The Executive also contributes to service quality, aesthetic upkeep of the workplace, and digital tool utilization.
In addition, one of the Service Operations Executives directly supports C-Level leadership by handling executive meeting scheduling, bookings, and confidential requests. This includes liaising with internal and external stakeholders on behalf of senior leadership and ensuring seamless execution of high-level meetings and engagements.
Key Responsibilities- Provide high-level administrative support to C-Level executives by managing their calendars, scheduling meetings, confirming agendas, and coordinating logistics for internal and external engagements.
- Handle confidential executive booking requests with discretion, ensuring timely follow-up, agenda readiness, and coordination with internal departments or external stakeholders.
- Serve as a liaison between executives and various departments, ensuring professional communication and smooth execution of high-priority tasks.
- Welcome and manage visitors, clients, and vendors, ensuring a professional, courteous, and seamless experience that reflects IMI’s hospitality standards.
- Maintain and monitor the visitor log system, ensuring accuracy, confidentiality, and compliance with security protocols.
- Coordinate VIP and special guest visits, including liaising with the front desk and security for logistics, hospitality arrangements, and room setup.
- Guide visitors to the appropriate teams or individuals, handle guest inquiries, and proactively resolve any concerns or complaints in a timely, service-oriented manner.
- Manage incoming and outgoing calls and emails professionally, directing communications to the appropriate individuals or departments with clarity and promptness.
- Track, record, and follow up on all correspondence (physical and digital), ensuring messages, packages, and documents are handled efficiently and securely.
- Organize and coordinate internal and external meetings, including scheduling, room booking, catering, and logistical setup to ensure smooth execution.
- Prepare supporting materials, agendas, and follow-up documentation for meetings and ensure readiness of common areas and executive meeting rooms.
- Collaborate with relevant team members to support events, VIP visits, and high-profile delegations.
- Oversee the cleanliness, functionality, and professional appearance of office spaces, pantries, and communal areas, ensuring alignment with IMI standards.
- Liaise with cleaning and maintenance vendors or internal teams to resolve facility-related issues promptly and escalate unresolved matters to management as necessary.
- Monitor and report on the overall condition of office infrastructure, recommending improvements where needed.
- Supervise pantry operations and ensure supplies are consistently available, hygienic standards are maintained, and consumption levels are monitored for efficiency.
