Operations Administrator & Executive Assistant
Full-time Immediate / Within 1 month
Reporting to:
Founder / Business Owner
We are hiring a Senior Operations Administrator & Executive Assistant to support a business owner during an active UAE setup and growth phase. This role is best suited for someone who enjoys structured admin work, strong follow-through, and working independently without a large team.
This is not a people-management or strategic leadership role. This is a hands-on dual role combining:
Day-to-day operations and administrative support, and Executive / Personal Assistant support, including business setup, banking, visas, and relocation coordination.
- Manage daily administrative and coordination tasks across projects.
- Handle enquiries, quotations, and basic order processing.
- Coordinate with suppliers, service providers, and logistics partners.
- Prepare, track, and maintain documentation (orders, shipping, invoices).
- Track invoices, payments, and follow-ups.
- Maintain accurate records, files, and compliance documents.
- Support general office administration and operational coordination.
- Provide direct executive and personal assistance to the Founder.
- Support UAE business setup, licensing, and compliance processes.
- Coordinate bank account opening and liaise with banks and advisors.
- Assist with visa applications, renewals, and documentation.
- Provide relocation support (coordination with landlords, service providers, government offices).
- Manage appointments, paperwork, and follow-ups with authorities.
- Act as a trusted local point of contact for administrative matters.
- Based in Abu Dhabi and available for in-person support.
- Experience as an Operations Administrator, Executive Assistant, PA, or Office Manager in the UAE.
- Familiar with UAE business setup, banking, and visa processes.
- Highly organised, detail-oriented, and reliable.
- Comfortable working independently and handling confidential matters.
- Strong written and spoken English.
- Practical, calm, and solution-focused.
