- Assist Project Managers in planning work schedules, determining manpower levels, and arranging project employee assignments
- Coordinate project activities to ensure progress on schedule and within budget
- Time reporting for field employees
- Monthly progress billing to General Contractors
- Assist with acquisition of materials and equipment
- Compose correspondence and reports as needed
- Advise and assist Project Managers with potential problems, work interferences, and scheduling difficulties
- Check deadlines on incoming requests and prioritize appropriately
- Process day-to-day administrative items (expense reports, supply requisitions, POS, HR transaction forms, budgets, etc.)
- Prepare special reports per supervisor request
- Other duties as assigned
- Associate’s Degree or minimum of 2 years of administrative experience
- Proficiency in MS Office Suite
- Ability to prioritize tasks according to deadlines and urgency
- Interpersonal skills: confidentiality, openness to ideas, willingness to try new things
- Oral communication: clear, persuasive speaking, group presentation, meeting facilitation
- Written communication: editing for spelling and grammar, presenting numerical data, reading and interpreting written information
- Quality control: accuracy, thoroughness, monitoring own work
- Adaptability: manage changes, competing demands, frequent changes or delays
- Dependability: consistently on time, follows instructions, responds to management direction, seeks feedback to improve performance
- Bilingual Spanish speaking a plus
