Action Electric is seeking a dependable and organized Office Administrator/Bookkeeper to support daily office and financial operations. This role is responsible for managing accounts payable and receivable, coding expenses by job and materials in Quick Books, matching invoices with purchase orders, and processing vendor payments. The position also assists with maintaining accurate financial records, reconciling bank statements, and supporting year-end reporting with accountants.

The ideal candidate is highly organized, detail-oriented, and proficient in Quick Books, with the ability to manage multiple administrative and financial responsibilities efficiently.

Responsibilities
  • Processing accounts payable and accounts receivable, handling billing and collections, and preparing AIA pay applications
  • Coding expenses by job and materials in Quick Books
  • Maintain accurate financial records in Quick Books
  • Bid Forms, Proposals, AIA Forms, and other related construction documents
  • Partner with project managers to ensure accurate project financials
  • Year End Finance Audits with accountants (P&L, balance sheets)
  • Payroll and Certified Payroll reporting
  • Maintain organized documentation and ensure compliance with internal controls
  • Perform additional accounting and administrative duties as needed
Requirements
  • Education:

    High School Diploma
  • 4+ years of knowledge of administrative, construction office management
  • 4+ years of knowledge of accounting codes and standards
  • Detail-oriented with strong documentation and record-keeping abilities
  • Strong understanding of job costing, purchase orders, and subcontractor billing
  • Excellent data entry accuracy and speed
  • Proficient in Quick Books
  • Proficient in Word suite
  • Familiar with Human Resource Laws and Regulations
  • Employees are required to maintain strict confidentiality of company information and may be required to sign confidentiality and non‑compete agreements as a condition of employment.
