As a Specialist, Contracts and Procurement, you will support the Polar Max Program’s procurement activities related to commissioning and project delivery through effective contract drafting, vendor management, and selected procurement tasks. Drafting and administering commissioning contracts, subcontractor amendments, and related commercial documentation, and leading procurement activities, are some of the responsibilities and skills required for this position.

The position works in close collaboration with key internal stakeholders across Engineering, Commissioning, Logistics, Project Management Office, Legal, Contract Management Office, and Supply Chain functions and requires regular international travel, with approximately 60% of time based in Finland and 40% in Canada, as required. More specifically, you will:

Lead complex, high ‑ value contract negotiations with strategic partners, ensuring alignment on commercial objectives, risk mitigation, and long-term value creation for the organization.

Draft, review, and administer commissioning contracts to suppliers in support of program and project requirements

Prepare and manage supplier amendments, variations, and change orders

Ensure contractual terms align with project scope, schedules, budgets, and commissioning activities

Support commercial negotiations with suppliers and service providers

Maintain accurate and well-organized contract documentation and approval records

Lead procurement activities related to commissioning and project delivery, including the execution of competitive bid processes

Prepare and issue tender documentation in coordination with Engineering, PMO, and Legal and Supply Chain teams

Evaluate bids from a commercial and contractual perspective and support supplier selection

Ensure procurement activities comply with internal policies and contractual requirements

Manage multiple contracts, tenders, and stakeholders simultaneously in a project-driven environment

Support reporting, tracking, and documentation related to contracts and procurement activities

Maintain records using company systems and Microsoft Office tools

Qualifications

7+ years experience in contract administration within a procurement or project environment

7+ years experience supporting commercial negotiations through document preparation, version control, and record management

7+ years experience in coordinating approvals, tracking contractual changes, and maintaining audit-ready records

Advanced commercial negotiation skills, including structuring and negotiating complex supplier agreements, managing risk allocation, resolving contractual issues, and achieving outcomes aligned with organizational and project objectives.

Strong background in preparing, managing, and maintaining contractual and commercial documentation, including contracts, amendments, and tender records

Demonstrated experience administering procurement processes, including tender issuance, bid receipt, evaluation documentation, and award records

Proven ability to manage large volumes of documentation with a high level of accuracy and attention to detail

Familiarity with subcontractor administration, including tracking deliverables, variations, and contractual correspondence

Experience working with multiple internal stakeholders in a structured, project-driven environment

Bachelors’ degree in Business Administration or similar preferred

Marine or maritime industry experience preferred

Strong commercial and contractual awareness

Excellent organizational and attention to detail skills

Ability to work independently and remain self-motivated

Strong written and verbal communication skills

Proficient in Microsoft Office applications (Excel, Word, Outlook; PowerPoint; SharePoint)

Ability to operate effectively in a multi-stakeholder environment
